# Vehicles and incidents

> Fleet registry (MOT, tax, insurance) and near-miss / injury records.

# Vehicles and incidents

**Vehicles** tracks fleet compliance for dispatch. **Incidents** records near-misses and injuries for HSE-style audit packs.

## Vehicles

Open **Vehicles** (Compliance) for the fleet registry. Filters: Active / Archived / All.

Add a vehicle with registration and compliance dates:

* MOT
* Road tax (VED)
* Insurance

Keep dates current so dispatch can warn or gate on expired documents. **Archive vehicle** when it leaves the fleet (archived vehicles stay in history but drop out of active filters).

Jobs can optionally reference a vehicle when your workflows require vehicle-level evidence. Vehicle rows can also appear in inspection-pack CSVs.

## Incidents

Open **Incidents** to retain statutory-style incident records for HSE audit and inspection-pack export.

### Record an incident

Use **Record incident** and capture:

| Field    | Options / notes                             |
| -------- | ------------------------------------------- |
| Severity | Near miss · Minor injury · Reportable       |
| Status   | Draft · Recorded · Closed                   |
| Context  | What happened, when, where, people involved |

Close records when follow-up is done. Reportable / RIDDOR-shaped content can flow into Modern Slavery and inspection pack exports for the period — see [Compliance and exports](/compliance-and-exports).

## Tips

* Treat vehicles like workers: expired MOT or insurance should be fixed before the next dispatch.
* Record near-misses promptly — empty incident history is harder to defend than a short log.
* Use the compliance hub attention list alongside vehicle dates when preparing an audit pack.
